3. Customer Business Data
VTechSuite is designed to manage important and often confidential business information, including ERP records, EDI transactions, product data, customer and vendor information, orders, reports, presentations, workflows, and operational records.
When a customer enters, uploads, stores, or transmits business data through VTechSuite, that information remains the customer’s business data. VTechSuite processes customer business data only as needed to provide the platform, support the customer’s authorized use of the system, maintain security, deliver integrations, troubleshoot technical issues, comply with legal obligations, or follow the customer’s instructions.
We understand that ERP and EDI data can include highly sensitive commercial information, including pricing, customers, suppliers, inventory, product development, transactions, financial documents, and internal business activity. For that reason, VTechSuite is designed around data separation, restricted access, and customer-controlled permissions.
Customers remain responsible for deciding what information is entered into the platform, which users are authorized to access it, and whether they have the proper rights and permissions to process that information.
4. Tenant Isolation and Access Control
VTechSuite is built with business data confidentiality as a core priority. Because our platform may support sensitive ERP, EDI, product, customer, vendor, order, reporting, and operational information, we take customer data separation and access control seriously.
Each customer company operates in a dedicated tenant environment designed to keep its business data separate from other companies using the platform. Depending on the customer setup, this may include a dedicated database, separated data environment, or other tenant-level isolation controls.
Within each company account, authorized administrators can control user access through role-based permissions. This allows each company to decide which users may view, create, edit, delete, approve, export, or manage specific parts of the system.
Access can be limited by module, feature, role, or responsibility, so users only receive access to the information and tools needed for their work.
VTechSuite does not sell customer business data, personal information, ERP records, EDI transactions, product data, customer lists, vendor records, reports, or operational information to third parties.
We also do not use customer business data for unrelated third-party marketing or advertising purposes. Customer data is used only as needed to provide, operate, support, secure, improve, and maintain the VTechSuite platform, or as otherwise authorized by the customer or required by law.
5. EDI and Integration Data
VTechSuite may provide EDI and third-party integration capabilities that allow customers to exchange business information with trading partners, retailers, suppliers, logistics providers, marketplaces, accounting systems, or other approved platforms.
EDI and integration data may include:
- Purchase orders
- Invoices
- Shipment notices
- Product information
- Customer or vendor records
- Transaction details
- Shipping and logistics information
- Inventory data
- Order confirmations
- Other business documents required for connected workflows
We use this information only to provide, transmit, process, validate, support, and monitor the requested integration services.
6. How We Share Information
We may share information only when necessary for business, operational, legal, or service-related purposes.
We may share information with:
- Authorized employees, contractors, or service providers who need access to operate or support the services
- Hosting, infrastructure, security, analytics, email, communication, or technical service providers

- A successor entity in the event of a merger, acquisition, restructuring, or sale of business assets
We do not sell customer data or personal information.
We do not share customer business data with third parties for their independent marketing or advertising purposes.
7. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, misuse, loss, alteration, or disclosure.
These safeguards may include tenant-level data separation, secure database architecture, access controls, role-based permissions, authentication controls, audit logs, encrypted connections, server security measures, system monitoring, backups, and internal operational controls.
No system can be guaranteed to be completely secure. However, VTechSuite is designed with business data protection, tenant isolation, user permission control, and platform security as important priorities.
Additional details about our security architecture and operational safeguards may be provided separately through our security documentation, customer agreements, or enterprise review process.
8. Data Retention
We retain personal information and business data only for as long as reasonably necessary to provide our services, support customer accounts, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and operate our business.
Customer business data may be retained according to the customer’s subscription, service agreement, data retention settings, backup schedules, or applicable legal and operational requirements.
When information is no longer needed, we may delete, anonymize, archive, or securely retain it as required by law, contract, or legitimate business needs.
